Press Release: UK Finance Teams Escape Admin as Expense Management Maturity Surges | Featured Image by FF News

New data from Capture Expense reveals that UK finance teams are significantly reducing administrative friction as expense management maturity improves. With rejection rates falling and immediate approvals surging, fintech professionals should note how automated compliance is successfully shifting the burden from manual correction to strategic oversight within corporate spend environments.

What was announced

The 2026 Expense Trends Report from Capture Expense provides a comprehensive snapshot of UK business spending, based on an analysis of 978,036 expense claims worth over £49 million. The data, collected from 631 organisations between January 2025 and June 2026, highlights a sharp decline in the volume of rejected claims. Despite the platform processing a higher volume of submissions from more organisations, the overall rejection rate dropped from 2.91% to 2.26% year-on-year.

Efficiency gains are most visible in approval timelines. Immediate approvals, which accounted for just 2.6% of claims in 2025, spiked to 26.8% in 2026. Conversely, the proportion of claims taking longer than 30 days to process plummeted from 26.6% to 3.4%. Organisations are becoming more effective at building compliance into the expense process, helping to reduce avoidable mistakes before claims reach managers or finance teams.

While errors are decreasing, specific friction points remain. Missing mileage documentation was the primary cause for rejection, accounting for 1,571 claims, followed closely by missing or invalid receipts with 1,545 claims. Incorrect category selection or VAT treatment was responsible for a further 1,509 rejected claims. These figures suggest that while automated controls are catching errors earlier, manual data entry for travel and tax remains a primary vulnerability in the expense lifecycle.

"Organisations are simply getting better at this. Employees understand what a compliant claim looks like, systems are catching problems earlier, and approvers aren’t wading through the same volume of avoidable admin."

The companies involved

Capture Expense is a cloud-based expense management platform designed to streamline the reimbursement process for businesses. The company focuses on providing tools that integrate automated controls into the expense creation phase, aiming to reduce the administrative burden on finance departments. By leveraging digital workflows, the platform seeks to improve compliance and visibility into corporate spending.

The firm is led by James Rowell, who serves as Founder and Managing Director, and Callum Beckwith, the company's Technical Lead. Operating in the competitive UK fintech landscape, Capture Expense positions itself as a solution for organisations looking to move beyond manual spreadsheets and fragmented receipt tracking. The company’s market presence is defined by its emphasis on "compliance by design," where the software identifies potential policy breaches or missing documentation before a claim is submitted for approval. This proactive approach to spend management reflects a broader trend in the fintech sector toward reducing "rework" and allowing finance teams to focus on higher-value data analysis rather than clerical corrections.

What FF News has reported before

FF News has previously tracked Capture Expense’s efforts to eliminate manual friction in the corporate spend space. In June 2026, the publication reported on a significant partnership in Capture Expense and Pliant Launch Integrated Business Cards to End Manual Expense Claims. This collaboration aimed to bridge the gap between payment and accounting by integrating business cards directly with the expense management platform. By automating the data flow from the point of purchase, the initiative sought to remove the need for employees to manually enter transaction details, a move that aligns with the broader industry trends of falling rejection rates and faster approval times highlighted in the company's latest data report.

What this means

The dramatic shift toward immediate approvals suggests that the "black box" of corporate expenses is finally being cracked by automated validation. For the wider fintech sector, this move from correction to prevention puts significant pressure on legacy providers who still rely on post-submission auditing. If nearly 27% of claims can now be approved instantly, the traditional role of the "expense processor" is effectively obsolete. The remaining challenge for the industry lies in mileage and VAT—areas where manual input still triggers the majority of rejections. The next competitive frontier for spend management will likely be the total automation of these specific, high-friction data points.
